Who we are
MiniStaff AI is a subscription software service (SaaS) provided by MiniStaff — Sudeep Sahu (Sole Proprietorship), Flat 304, Tower 7, Puri Pratham, Sector 84, Faridabad, Haryana 121002, India ("we", "us", "our"). By creating an account or using the service, you ("you", "the customer") agree to these Terms. If you use MiniStaff on behalf of a business, you confirm you are authorised to accept these Terms for that business.
The service
MiniStaff provides an AI-powered receptionist for businesses in India: it replies to your enquiries on WhatsApp, email and website chat, qualifies leads, and books appointments into your calendar. Plans are monthly subscriptions (Starter, Pro, Max). The service is AI-assisted, not infallible: see the AI disclaimer below.
Eligibility
The service is for business use by persons aged 18 or over. It is not for personal or household use, and it must not be used to serve minors directly without your own appropriate consent processes.
Subscription and payments
- Monthly plans. You subscribe to a plan for one month at a time. Your plan is active for 30 days from the day we activate it.
- Manual payment. You pay the exact plan price by UPI to our published UPI ID, then submit the transaction ID and payment screenshot in the app. There is no automatic billing and no auto-renewal: your plan simply ends after 30 days unless you pay for another month.
- Activation. After we receive your payment claim, we verify the payment manually and then activate your plan. Activation can take a few hours; your "setting up" screen tracks this state.
- Taxes. Prices shown are inclusive of all currently applicable taxes for a non-GST-registered sole proprietorship. If we register for GST in future, GST will be charged extra and shown on your invoice.
- Invoices. We issue a payment receipt for every plan activation with our business name, address, date, plan description and amount.
Acceptable use
You agree not to: use the service for any unlawful purpose; feed the receptionist false or misleading business information (project prices, amenities, possession dates, fees, qualifications); send spam or contact people who have not consented to hear from your business; use the service to give medical diagnosis, medical triage, legal advice, or emergency-response instructions; interfere with the service or attempt to access other customers' data.
You are responsible for the accuracy of the listings, prices, timings and policies you give your receptionist, and for complying with the advertising and professional rules of your own industry (for example, property developers are responsible for the accuracy of project claims under RERA).
AI disclaimer — read this
- The receptionist is artificial intelligence. It can make mistakes: it may misunderstand a message, give a wrong answer, or book an appointment at the wrong time.
- You remain responsible for reviewing the bookings, replies and information your receptionist sends to your customers. Check your dashboard regularly; the service logs every conversation so you can verify what was said.
- The service is an administrative receptionist only. It must not be used for medical diagnosis or triage, legal advice, or emergencies. Health questions should be answered by your qualified staff.
- No guarantee. We do not guarantee any number of leads, bookings or revenue. Unlimited chats are subject to fair use.
Your data and our data
How we handle your account data and your customers' data is described in our Privacy Policy. For your end-customers' personal data, you act as the data fiduciary and MiniStaff acts as your processor: we process that data only on your instructions and never re-use it for our own purposes.
Intellectual property
MiniStaff, its software, branding and content remain our property. You get a limited, non-exclusive, non-transferable licence to use the service during your subscription. Your business content and listings remain yours.
Limitation of liability
To the maximum extent permitted by law, our total liability to you for any claim arising from the service is limited to the fees you paid us in the three months before the event giving rise to the claim. We are not liable for indirect, incidental, special or consequential losses (including lost profits or lost customers). Nothing in these Terms limits liability for fraud, wilful misconduct, or anything that cannot be limited by law. You indemnify us against claims arising from your content, your listings, your industry-law compliance, or misuse of the service.
Suspension and termination
You may stop using the service at any time — just don't renew. We may suspend or terminate your account with notice if you breach these Terms, fail to pay, or misuse the service (including WhatsApp policy violations that endanger the platform). On termination, your data is retained or deleted as described in the Privacy Policy.
Governing law and disputes
These Terms are governed by the laws of India. Any dispute will first be attempted to be settled amicably within 30 days. Failing that, disputes shall be resolved by arbitration under the Arbitration and Conciliation Act, 1996 by a sole arbitrator, with the seat at Faridabad, Haryana, and the language English. Subject to arbitration, the courts at Faridabad, Haryana have jurisdiction.
Grievances
Grievance officer: Sudeep Sahu — [email protected]. We acknowledge grievances within 48 hours and resolve them within one month.
Changes to these Terms
We may update these Terms. Material changes will be notified in the app or by email before they take effect; continued use after the effective date constitutes acceptance.
